Before booking a tour with Bearing True South, we recommend you take some time to read and understand the booking terms and conditions listed below:
The laws of the Hellenic Republic govern these Booking Conditions to the fullest extent allowable. Any disputes in connection with a trip or these Booking Conditions will be initiated in the courts of the Hellenic Republic.
Our booking contract
Your booking is made with Bearing True South Private Company. By making a booking you certify that you agree with all terms and conditions listed on our website. The services provided will be referred in your booking confirmation invoice.
A binding contract between us (Bearing True South) and you (the client) is created when we issue the Booking Confirmation and Invoice to you, the party leader or the travel agent.
If you think that any information on any of these documents (or any other document) is wrong or inaccurate, you need to contact us within 10 working days (or sooner if you booked less than 2 weeks before scheduled departure) for changes to take effect. Changes cannot be made later and in such case it may affect your rights. All names on travel documents must match those in your passport, ID or visa.
By making a booking the passenger declares on behalf of all persons detailed on the booking that:
- He/she has read, understands, accepts and agrees with our terms and conditions
- He/she accepts the risks involved in outdoor activities and adventure travel
- He/she is over 18 years of age in order to make a booking
- All passengers on behalf of whom he/she is making a booking have the appropriate age in order to participate in a tour with Bearing True South. (Age limits for each tour are listed in the extra Info section of the tour page)
Booking and payments
In order to confirm a booking with Bearing True South you have the following options:
- Pay via credit card through our website, on our Piraeus Bank bank account:
We accept Visa, American Express and Mastercard. A credit card fee of 1-3%, depending on the card provider, might incur. The transaction will be made via the Paycenter Secure System of Piraeus Bank. If you choose to pay by credit card, a deposit of 50% of the total cost of the product or service you are trying to book must be paid if at the time of booking the departure date is more than 40 days away.The full amount must be transferred no later than 40 days before departure.
- Pay via wire transfer to our account at Piraeus Bank.

If you choose to pay by wire transfer a deposit of 50% of the total cost of the product or service you are trying to book must be made if at the time of booking the departure date is more than 40 days away. The full amount must be transferred no later than 40 days before departure. Note that transfer charges may incur. When you pay via wire transfer please do not forget to include the name and departure date of the tour you are booking as well as the number of participants on behalf of whom you are making the reservation for.

If you choose to pay via paypal a deposit of 50% of the total cost of the product or service you are trying to book must be made if at the time of booking the departure date is more than 40 days away. The full amount must be transferred no later than 40 days before departure.
All payments to us are made in Euros and exchange rates are based on the ones published by xe.com at the time of booking.
If the balance has not been transferred 40 days before departure, we reserve the right to cancel your booking and cancellation charges will apply. As a condition of valid confirmation with Bearing True South the client must provide all necessary information along with the payment. Failure to do so, or providing incorrect information may result in booking cancellation and cancellation charges may apply. If you are booking on behalf of others, you are responsible for providing correct information on behalf of your fellow travelers.
Information required for each traveler may vary depending on the type of tour and any additional details will be requested by us at the time of booking.
Please note that in order to confirm your booking with Bearing True South, you need to provide us with the following requested details at the time that you pay the deposit of the the trip price. These details include full name as per passport, date of birth, nationality, passport number, issue and expiry date. Any medical conditions you may have which may affect your ability to participate in any travel arrangements must be declared. Your booking cannot be confirmed without provision of these details. If any of the passenger information (passport) is missing at the time that you pay the deposit, you can still send us this information by the time you pay the balance of the tour price.
Cancellation by the traveller:
If you cancel some or all portions of your booking cancellation fees will apply. A cancellation will only be effective when we receive written confirmation of the cancellation by the leading passenger of the booking.
If you cancel a trip:
1. If you decide to cancel up to 60 days before departure, once you have booked your travel dates, you may cancel with a penalty fee of 10% of the total tour price.
2. Under 60 days and up to 30 days prior to departure they may cance with a 50% penalty of the total tour price.
3. Under 30 days prior to departure the cancellation penalty will be 100% of the tour price.
If you leave a trip for any reason after it has commenced we are not obliged to make any refunds for unused services. If you fail to join a tour, join it after departure, or leave it prior to its completion, no refund will be made.
Cancellation by us:
We may cancel a trip at any time prior to departure if, due to terrorism, natural disasters, adverse or extreme weather conditions, riots, threat of war, political instability or other external unforeseen events, it is not viable for us to operate the planned itinerary. In these cases we regret we cannot accept liability or pay any compensation for expenses incurred by participants in preparation for a trip such as non-refundable air tickets, equipment, passports, visas, vaccinations, travel insurance costs, etc. Bearing True South urges you to procure travel insurance to cover such unforeseen events.
We may also cancel a trip in case you fail to proceed with the full payment of your booked tour at the required time as described in Bookings and Payments.
Our trips operate with a minimum number of participants which varies per trip and is explained in detail in the ?extra info? section of every trip on our website. If that number is not met we reserve the right to cancel the trip. In that case, we will inform you at least 30 days before departure.
If we cancel your trip you have the following options:
- You can receive a full refund, minus any wire transfer, paypal or credit card surcharges
- You can opt to transfer amounts paid to an alternate departure date or alternate tour within the same year, at an extra charge or getting a refund depending on which tour is more expensive.
- You can pay an increased fee to be determined at that time (we base it on the number of tour participants at that time) and proceed with the tour as it was initially scheduled.
EMERGENCY CANCELLATION POLICY DUE TO COVID-19 RESTRICTIONS
The bellow terms apply ONLY under the condition where travel restrictions are in place due to the Covid-19 Pandemic, or in case the operator is forced to cancel the trip due to local restrictions. Unfortunately there is no specific time window for this decision to be made on our end given that the circumstances are difficult to predict.
- If travel restrictions are in place due to pandemic or the operator is forced to cancel the departure due to local restrictions, the original departure will be cancelled by the operator and the customer will have the option to change their date to another available date, at any time prior to departure, within the same season in 2021 or 2022 without extra fees/costs. If they want to change seasons additional fees might apply. No specific deadline will be set for choosing a new date. This will always be decided given the availability we have at the time of the new booking.
- If travel restrictions are in place due to the pandemic or the operator is forced to cancel the departure due to local restrictions, up to 60 days before departure, the customer may cancel a trip with a penalty fee of 10% of the total price.
- Less than 60 days prior to departure, if travel restrictions are in place due to the pandemic or the operator is forced to cancel the departure due to local restrictions, the customer may cancel the trip with a penalty of 30% of the total price which corresponds to the non refundable operating trip costs.
Booking amendments made by the traveler
The client may choose to change any of the details of the booking, after our confirmation has been issued. Amendments made in conjunction with your trip will incur a 80 euro administration fee per booking per change. This fee is in addition to any charges levied by hotels or ground operators. No amendments are permitted to your booking within 15 days of departure.
If you wish to transfer from one trip to another or transfer your booking to a third party you must notify us at least 15 days prior to the proposed departure date. A fee of 60 euro per person per change will apply (in addition to any charges levied by hotels or ground operators). If you notify us less than 15 days prior to the proposed departure date the refund policy applicable to cancellations will apply.Transfers to a third party are only permitted where the transferee meets all the requirements in relation to the trip, and transfers to another trip can only be made within the current validity period. Please note that your request must be accompanied by all original travel documents which you have received and the full name and address of the transferee.
Itinerary changes made by us
While we endeavor to operate all trips as described, we reserve the right to change the trip itinerary without incurring any refund obligations in case we face unforeseen circumstances beyond our control that may affect the tour schedule. Changes are usually minor and apply but not limited to hotels, tour itineraries, outdoor activities, means of transport. Please refer to our website before departure for the most recent updates to your itinerary.
If we are forced to make a major change in the tour itinerary we will inform you as soon as reasonably possible if there is time before departure. The definition of a major change is deemed to be a change affecting at least one day in five of the itinerary. When a major change is made you may choose between accepting the change (at an additional cost, if applicable), obtaining a full refund of the money paid to us for the land portion of the trip only or accepting an alternative tour offered (at an extra charge or getting a refund depending on which tour is more expensive).
We reserve the right to change an itinerary after departure due to local circumstances or events outside of our control. In such emergency circumstances the additional cost of any necessary itinerary alterations will be covered by you. Please note we are not responsible for any incidental expenses that may be incurred as a result of the change of itinerary such as visas, vaccinations or non-refundable flights.
Our travelers must acknowledge that the adventure style of travel requires a certain degree of flexibility due to unexpected circumstances that might incur. For this reason Bearing True South urges travelers to procure travel insurance that will cover for such unforeseen events.
The price of your trip includes:
- all accommodation as listed in the Day to Day Itinerary, Extra Info and Tour Information sections of the website for each trip
- all transport listed in the Extra Info and Tour Information sections of the website for each trip
- Guided sightseeing and certain meals as listed in the Day to Day Itinerary, Extra Info and Tour Information sections of the website for each trip
- the services of the group leader and local guides as described in the Extra Info and Tour Information sections of the website for each trip
- Certain outdoor activities depending on the tour, as listed in the Tour Activities / Extra Info sections for each tour on the website.
- On occasion and according to each specific trip it may include other services, such as fuel, tolls, services of a professional driver and / or guides, archaeological site entrance fees, guided archaeological site visits, always as described in the Day to Day Itinerary, Extra Info and Tour Information sections of the website for each trip
The price of your trip does not include:
- international or domestic flights
- meals other than those specified in the Day to Day Itinerary, Extra Info and Tour Information sections of the website for each trip
- Any beverages or alcoholic drinks during meals
- Visa and passport fees
- Personal accident and travel insurance
- optional activities and all personal expenses
- anything else that is not mentioned as included in the Day to Day Itinerary, Extra Info and Tour Information sections of the website for each trip
Tour prices and Surcharges
Our trip prices are subject to variable and seasonal pricing, both of which are standard practice within the travel industry. This means our trip prices may vary at any time in accordance with demand, market conditions and availability. It is likely that different passengers on the same trip may have been charged different prices. Your best option if you like the price you see is to book at that time. Once you have received a quote / confirmation the price will be locked in, provided you pay the required deposit prior to the quote?s expiry. Any increased or reduced pricing/ discounts that may become available after you have paid your deposit will not apply. If you wish to cancel your booking to take advantage of a cheaper price, full cancellation conditions apply. The most up to date pricing is available on our website.
We reserve the right to impose surcharges up to 30 days before departure due to unfavorable changes in exchange rates, increases in transportation costs, increases in local operator costs, taxes, or if government action should require us to do so. In such instances we will be responsible for any amount up to 2% of the trip price and you will be responsible for the balance. If any surcharge results in an increase of more than 10% of the trip price you may cancel the booking within 15 days of notification of the surcharge and obtain a full refund or pay the surcharge and join your tour as initially scheduled.
Age and Health Requirements
The active and adventurous style of our tours requires our travelers to have good physical health and a reasonable level of fitness in order to fully participate in the tour programme. It is essential that any traveler having a certain medical condition which requires regular treatment or may be affected by vigorous activity, high altitude, heat, cold, other natural phenomena, food allergies, etc must notify us at the time of booking. Once a trip has been confirmed, medical circumstances will not be considered as exceptions to our cancellation policy.
We are able to provide details on mandatory health requirements; however, we are not medical experts. It is your responsibility to ensure that you obtain proper and detailed medical advice at least two months prior to travel
Age limitations for participants are listed in the Extra Info section for each tour and vary depending on the tour. All travellers under the age of 18 must be accompanied by a legal guardian, or in lieu of a legal guardian, by an escort over the age of 18, appointed by their legal guardian.
The legal guardian or their designee will be responsible for the traveller under the age of 18 day to day’s care. If a legal guardian elects to designate an escort in their lieu, they will be required to present a signed relevant document, to delegate their authority.
Please note we cannot guarantee triple or joining rooms for families; accompanying adults may be required to share with others in the group on a twin share basis.
For the majority of our trips we have no upper age limit though we remind you that our trips can be physically demanding and passengers must ensure that they are suitably fit to allow full participation. Check the Level of Difficulty section for each trip to ensure you fit the requirements to join.
Passports and Visas
You must carry a valid passport and have obtained all of the appropriate visas, permits and certificates for the country you will visit during your trip. Your passport must be valid for 6 months beyond the duration of the trip. It is your responsibility to ensure that you are in possession of the correct visas, permits and certificates for your trip; please refer to the Tour Information and Extra Info sections of the website for each trip. We are not responsible if you are refused entry to the country because you lack the correct passport, visa or other travel documentation. In that case Bearing True South is not obliged to refund you for any costs related to travel arrangements you have made prior to traveling.
Bearing True South Tour Leader
Our group trips are run by a group leader. The decision of the group leader is final on all matters likely to affect the safety or well-being of any person participating in the trip. If you fail to comply with a decision made by a group leader, or interfere with the well-being or mobility of the group, the group leader may direct you to leave the trip immediately, with no right of refund. We may also elect not to carry you on any future trips booked. You must at all times comply with the laws, customs, foreign exchange and drug regulations of all countries visited, and you also agree to travel in accordance with our responsible travel guidelines.
Acceptance of potential risk
The traveler acknowledges that the nature of our tours is adventurous and it involves a significant amount of health/safety risk related to participation in outdoor adventure activities. You will be visiting places where the political, cultural and geographical attributes present dangers and physical challenges greater than those present in our daily lives. We use information from government departments and reports from our own contacts in assessing whether the itinerary should operate. However it is also your own responsibility to acquaint yourself with all possible relevant travel information and the nature of your itinerary. You acknowledge that your decision to travel is made in light of consideration of this information and you accept that you are aware of the personal risks attendant upon such travel. To the full extent permissible by the laws of the Hellenic Republic you hereby assume all such risk and release Bearing True South from all claims and causes of action arising from any damages or injuries or death as a result of your participation in our tours.
Optional activities or activities not included in the standard tour price
Optional activities not included in the trip price (outdoor activity, meals, sightseeing, transportation etc) do not form part of the trip or this contract. You accept that any assistance given by your group leader or local representative in arranging optional activities does not render us liable for them in any way. The contract for the provision of that activity will be between you and the activity provider. To the full extent permissible by the laws of the Hellenic Republic you hereby assume all such risk and release Bearing True South from all claims and causes of action arising from any damages, injuries, death, inconvenience or loss of enjoyment as a result of your participation in any optional activities provided by a third party.
All extra costs related to optional activities, local guide expenses, third party activity providers not included in the standard tour price are payable in cash on the spot.
Claims and Complaints
If you have a complaint about your trip please inform your group leader or our local representative at the time in order that they can attempt to rectify the matter. If satisfaction is not reached through these means then any further complaint should be put in writing to us within 30 days of the end of the tour.
Photography and marketing
You consent to us using images of you taken during the trip for advertising and promotional purposes in any medium we choose. You grant us a perpetual, royalty-free, worldwide, irrevocable licence to use such images for publicity and promotional purposes.
